I've been using Trello and Google Calendar. In Trello, I created these boards to keep track of my workflow and see my progress: Backlog (what I need to do, any ideas that appear will be put in this column), To-Do This Week, In Progress, Completed, and Accepted.
I also highly recommend building this 4-step loop for your work week (repeat the loop weekly):
Check: Where am I compared to my goals/objectives?
Actions: What are all the actions (tasks) I need to take to get there?
Plan: Plan to do it (what, when, where, how) and schedule them on your Google Calendar (easy to share with others as well).
Do: Do it!
This is based on the Kaizen method, and I find it super useful!
Hope it helps! Feel free to let me know if you are interested in learning more about time management skills. 😉

I love this!! Mainly cause I do this often too. I can't live without my google cal nowadays, my personal life has never been this organized like ever!! I do have a question though, have there been days (or weeks) when your goals are not met? How do you go around that? I've had "drought" weeks when I try to give myself a break from being too organized cause I feel like i'm not trying to live life spontaneously haha. What's your take on this?

Hi Melissa! Thanks for asking! 😄
To answer your first question: "How long?" -> I've been applying this principle for over 1.5 years in different forms:
As a Scrum Master in a 9-month project, we used it in our weekly or bi-weekly sprints: Sprint planning (Planning) -> Implementation (Doing) -> Sprint Review (Checking) -> Retrospective (Reflecting and Generating Actions). We even applied it daily during status checks.
Working as a Trainer in the T&D team for 7 months, I would check & define actions (C&A) with the manager and team, plan my to-do list with estimates (P), and then execute it (D).
Currently, I'm officially applying these 4 steps (PDCA) to my personal projects and freelance job for 2 weeks now.
Regarding your second question about whether it helps me achieve bigger goals, I see a significant impact from the 9-month project and my work in IT so I have hope for my personal project 😃. So far, after two weeks, I feel it helps me achieve my weekly goals and contributes to my larger vision. This tool is particularly helpful for long-term visions where detailed steps are not yet defined.
Hope this answers your questions. Feel free to share more from your experience. 😉

Hi Rox, thanks for asking! That's a good question! I'd love to share my experience.
Yes, there are definitely days or weeks when goals are not met as expected. Here's how I deal with it:
First, I accept that not achieving plans (or failure) is part of life. I can't control everything in my life and the world around me. Unexpected things like sickness, accidents, or needing more time can cause plans to fail. I remind myself that I'm not a robot; we are all human and can't control everything.
Second, I reflect on the experience and learn from it. I focus on the person I want to be rather than the specific goal. I look for small progress that brings me closer to my desired self and consider what I can do differently to achieve my goal next time. I focus on improving "my part."
Over time, I've learned to leave at least 20% of my schedule open for unexpected events and to prioritize important tasks early (Front-load).
In summary, planning helps me prepare better for the future and use my time meaningfully, but it doesn't stop me from being adaptable or flexible.
I love Notion too!!! My whole retirement plan is there. LOL

I have different apps for different things haha. I use notion for my tracking my expenses and then I use it for goal keeping.
For my everyday I use my Google calendar and often pen and paper...often I'll need to do what I need to do that day or week so I scrap it and then go back to it...sometimes I digital pen and paper it on my ipad

does anyone still use paper when they plan? or use sticker planners? one of my friends is obsessed with them. the shop they buy from makes so much money, they're like a whole community and the stickers aren't cheap. i'm kinda curious about this from a biz standpoint...

I do! I always keep post-its beside me during meetings so it's easier to note down some fast insights

I really like Notion! I'm so used to using Google sheets and slides but i'm slowly transitioning all my documents over at Notion. Love it because:
It has templates
It synchronizes all your info
It LOOKS GOOD.

ok won't lie, for daily tasks ive figured out literally no app works for me. i use MONK JOURNAL. https://monkmanual.com/ i kinda like that the format has you do a little bit of gratuity and daily intention/reflection as part of the planning, and honestly i really only do tasks i handwrite down, i don't know why that is... like if i have to actually physically write it down it must be important lol

ok so the main thing i use a lot is evernote. i know i know notion is waayyyy more functional but now i have my whole life on evernote. this is how i track it on evernote
i use different notebooks for different companies
i keep a separate 1x1 for every person I meet with on a regular basis, with dates and notes from each of the meetings. that way I write down my agenda for each meeting, and have notes and to-dos from last meetings
i have a notebook for prayers
have a notebook where i record any interesting dreams right when i wake up - dream journal all in one!
one thing i really can't live without is a note that has screenshots of everything i need for travel. won't mention here but it's like everything u need to fill out for visa or immigration form, super helpful in a pinch!
i also track docs like DMV registration, stuff that's imp but you can't ever remember
scan notes from whiteboards (which evernote auto scans so it's all searchable later on)

You can export evernote to Notion if you want to see how to use Notion from Evernote. I did the switch 4 years ago and don't regret.
